Amherst College invites applications for the full-time, year-round position of administrative assistant in the Office of the Dean of the Faculty. Amherst College has profoundly transformed its student body in terms of socioeconomic status, ethnicity, and nationality, among other areas. Reporting to the assistant to the dean of the faculty and office manager, this position provides administrative support primarily to the dean of the faculty, Amherst’s chief academic officer. The successful candidate will also support the work of the associate deans and of the office more generally. Other duties include tracking faculty committee assignments and providing administrative support for student and faculty research programs. This is a job group and level AO-4.
Key Responsibilities
Dean of the Faculty Support
- Provide administrative support to the dean of the faculty, including calendar maintenance, scheduling and preparing for the meetings of the deans, and project support;
- Greet visitors.
Dean of the Faculty Office Support
- Provide administrative support to the associate deans and to the Office of the Dean of the Faculty for projects, as they arise;
- Track faculty committee assignments, including preparing information throughout the year for the deans and the executive committee of the faculty;
- Solicit faculty proposals for research funding opportunities, prepare all materials for committee deliberations, monitor funds, and maintain records;
- Support the college’s Institutional Review Board (IRB), including monitoring reviews and maintaining files;
- Work with the Office of the Registrar to transcribe graduating students’ names for the dean to read at commencement;
- Maintain the website of the Office of the Dean of the Faculty as needed.
Support Amherst’s Academic Intern Program
- Monitor requests, prepare award letters, and maintain records.
Support the College’s Student Research Funding Application Process
- Solicit applications and advise students on process, administer and monitor funding, draft award letters, communicate and coordinate with all departments involved, including academic departments, donor relations, and the controller’s office. Maintain all internal records.
Qualifications:
Required
- Associate’s degree or equivalent experience
- Five years of related experience
- Proficiency with Microsoft Office
- Strong written and verbal communication, interpersonal, organizational, and time- management skills
- Commitment to and/or experience working with a diverse community
Preferred
- Bachelor’s degree
