Amherst College invites applications for the Residential Life Operations Assistant position. The Residential Life Operations Assistant is a full time, year round, term position ending on June 28, 2019, job group and level AO-3.
This position provides administrative support to the Office of Residential Life under direct supervision of the Assistant Director of Residential Life for Housing Assignments and Operations. The Residential Life Operations Assistant is the first point of contact for the Office of Residential life. Communicates with students, staff, parents, etc. in person, via phone, or email. Manages the office email, voicemails, and web page. Coordinates a variety tasks related to student housing including damage billing, maintaining rosters, etc. All persons in our office are mandated reporters. The assistant takes appropriate actions to support a diverse workforce and participates in the College’s efforts to create a respectful, inclusive, and welcoming work environment.
Key Responsibilities
Receptionist/Office Support
- Welcome visitors and answer phones; providing information/answer inquiries, etc.
- Respond to residential life email/voice messages
- Update department correspondence
- Assist with the creation of office brochures/marketing materials
- Update and edit webpage
- Provide administrative support with central office projects
Housing Operations Support
- Manage damage billing by reconciling and sending bills and sending appeal correspondence
- Maintain rosters and run requested reports
- Assist Community Development Coordinators (CDC’s) and the Assistant Director of Assignments and Operations with room change logistics
- Assist with the organization and coordination of the move-in/move-out process
- Co-Coordinate Storage logistics with central office staff
- Report maintenance issues to Facilities
- Attend and take notes during health and safety inspections
Qualifications:
Required
- Associate’s Degree, or in lieu of a degree, a High School Diploma or equivalent and three years of related experience
- 1 year of related experience
- Proficiency in Microsoft Word, Excel, and Outlook Email/calendaring system.
- Strong written and verbal communication, interpersonal, organizational and time management skills
- Commitment to or experience working with a diverse community
- An acceptable criminal offender records information (CORI) check
Preferred
- Bachelor’s Degree
