General Description |
Reporting to the Manager, Academic Systems, the Administrative Support Specialist is responsible for ensuring compliance with established College and Division of Academic and Student Success standards, practices and policies, while working collaboratively with other departments within the Division in the coordination of administrative processes. This position establishes and maintains work procedures and standards to improve efficiency and effectiveness of assigned administrative operations within the Academic and Student Success Division. |
Specific Responsibilities |
• Analyze and process c-forms, ensuring accuracy of all information, including: pool level/pay rate, workload eligibility and budget accuracy, to ensure compliance with the collective bargaining agreements and College processes and procedures. • Coordinate, maintain and monitor faculty workload data/availability, providing ad-hoc reporting as needed. • Respond to requests to resolve complex administrative problems, researching and preparing materials as needed. • Record and maintain seniority for the Adjunct Faculty, Visiting Lecturers and part-time Lab Aides/Lab Specialists. • Establish and maintain work procedures and standards to improve efficiency and effectiveness of assigned administrative operations. • Provide solutions and answers to problems and questions in accordance with the rules of the collective bargaining agreements and College processes and procedures, while also ensuring timely and appropriate responses. • Direct the work of student workers in the department of Academic and Student Success Operations. • Coordinate processes pertaining to the Division’s student evaluation program. • Maintain the security and confidentiality of all documents on behalf of the work area and the College. • Assist in the maintenance of databases and spreadsheets for Division programs and services including workflow tracking and workload management. • Assist with special projects as directed, collaborating with internal and external constituents to ensure completion of project deliverables. • Maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological and ethnic backgrounds. • Deliver quality customer services to both internal and external constituents in a professional, helpful and courteous manner. • Perform assigned duties in a manner consistent with the mission, goals, and core values of the College. • Perform other duties as assigned. |
Minimum Qualifications |
• Associate’s degree required. • Two (2) years of related work experience required. • Strong technical skills; demonstrated proficiency using MS Word and Excel required. • Strong attention to detail required. • Excellent verbal and written communication skills required. • Strong problem solving and organizational skills required. • Demonstrated ability to collaborate well with others. • Demonstrated effectiveness in the implementation and coordination of processes and procedures. • Ability to work well independently required. • Ability to meet deadlines and manage multiple and changing priorities in a fast-paced environment required. • Previous experience using enterprise-wide information and reporting systems. • Ability to maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds required. |
Preferred Qualifications |
• Bachelor’s degree preferred. Any and all degree(s) must be from a regionally accredited institution of higher learning. • Previous experience working in higher education preferred. |
