General Description |
Under general supervision, the Office Administrative Associate provides administrative and clerical support to the Division of Access and Community Engagement. Primary responsibilities include assisting in the coordination of office procedures, maintaining attendance records, and preparing program related documents, forms and memos. Specific Responsibilities |
• Provide general clerical support to the Division of Access and Community Engagement office. • Follow up on general and routine referrals and requests concerning DACE programs; initiating appropriate e-mails, phone calls and letters. • Redirect calls when necessary, takes accurate messages for others in a courteous, business-like manner, and verifies content. • Prepare various types of documents, forms, memos and letters on a personal computer using Microsoft Office Word. • Submit requisitions, enter course information and obtain student information related to DACE programs using Banner, and generate basic reports as needed. • Proofread own documents and those of others for accuracy using both technology tools and personal skills to edit for spelling, grammar, content and tone. • Complete correspondence as directed by the Administrative Support Specialist or DACE leadership team. • Provide administrative support for special projects; working independently or as part of a team, and providing assistance in meeting goals of the project, as assigned. • Maintain files in accordance with program and college requirements. • Collaborate with other administrative support staff in providing clerical support to DACE management team. • Responsively handle sensitive and confidential information about program participants. • Maintain inventory of program materials and generate orders as needed. • Assist Program Directors in maintaining and updating calendars, as needed. • Complete weekly attendance reports for the Division. • Provides exceptional customer service to a diverse array of constituents. • Performs related duties as assigned. |
Minimum Qualifications |
• High school diploma, or GED equivalent, required. • Minimum of five (5) or more years of relevant work experience in an administrative support role required. • Excellent organizational skills with careful attention to detail required. • Excellent customer service skills including courteous and helpful manner to respond to various internal and external constituents is required. • Intermediate level proficiency in the use of Microsoft Word and Excel is required. • Ability to collaborate well with others and work effectively as a team. • Strong initiative and follow-up in carrying out job responsibilities is required. • Strong attention to detail and accuracy is required. • Ability to demonstrate sound judgment and decision-making is required. • An understanding of, and sensitivity to, the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college staff and students required. |
Preferred Qualifications |
• Experience with Ellucian Banner, or a similar enterprise-wide system preferred. |
