General Description |
As part of a grant funded training program dedicated to job creation and revenue growth for small business owners and entrepreneurs in the Greater Philadelphia region and surrounding areas, the Program Manager is responsible for supporting the day-to-day operations of the program, reporting to the Executive Director. The Program Manager coordinates program operations, and ensures the efficient operation of enrollment management, classroom functioning, grant management, and alumni programming. Responsibilities include managing the program budget, supervising administrative support staff, and ensuring the logistical needs of the program are met. The Program Manager is an integral member of the team, working under the guidance and leadership of the Executive Director, to help meet the grant outcomes and deliverables. |
Specific Responsibilities |
• Manage the day-to-day office operations of the 10,000 Small Businesses Grant program in accordance with project goals, objectives and established timelines. • Manage the processing of applicants to the 10,000 Small Businesses Grant Program, working with the grant partner, ICIC, throughout the process to ensure that all required documents are submitted, reviewed and processed for interviews and final decisions. Process requires detailed tracking, use of CRM and other systems to stay on top of the program pipeline, and frequent communication with applicants and scholars throughout the process. • Support the Executive Director in compiling program data and preparing reports to fulfill grant requirements within established timeframes. • Support the Business Services Director in preparing curriculum materials, i.e. books, classroom materials, catering services and other faculty supports, as needed. • Assist in the recruitment of program participants, as needed. • Attend program modules and assist in Orientation, receptions, and alumni functions, as needed. • Interact with scholars to provide relevant, accurate, and timely information related to schedules, events, and administrative matters. • Maintain adherence to College and program policies and procedures. • Under the supervision of the Executive Director, maintain the grant budget, working with the Budget Office, as needed. • Manage and coordinate related office infrastructure and ensure that requests or questions are routed to the staff in the program. • Maintain proficiency in utilizing a variety of computer systems and software to capture information related to program scholars, including Sugar CRM, BaseCamp, LivePlan. • Confirm any need for technology and work with the ITS department to ensure that those needs will be handled. • Submit purchase orders for all items, and payment of invoices after consultation with Executive Director. • Other duties as needed to support program success. |
Minimum Qualifications |
• Bachelor Degree required. Any and all degree(s) must be from a regionally accredited institution of higher learning. • Five (5) years of relevant experience required. • Detail oriented with a strong understanding of logistics required. • Ability to meet deadlines and manage multiple and changing priorities in a fast-paced environment required. • An understanding of, and sensitivity to, the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college staff and students required. |
Preferred Qualifications |
• Five (5) years of relevant experience preferably in a higher education setting. • Experience effectively coordinating multiple projects and constituencies within short time frames preferred. • Three to five years’ experience managing a budget for a grant-funded program, department or the equivalent preferred. • Excellent organizational skills preferred. • Demonstrated ability to exercise good judgment in evaluating situations and making assessments for decisions preferred. • Strong oral and written communication skills preferred. • Ability to work collaboratively with internal and external constituents preferred. • Strong computer skills, including knowledge of MS Word and Excel preferred. • Previous experience using Ellucian Banner strongly preferred. • Event planning experience within a business environment preferred. |
