Basic Function |
Serve as an initial contact, resource, and welcoming presence for Data Analytics (DA) students, visitors, and email contacts. Perform day-to-day administrative tasks of the DA Program, including, but not limited to, general office management, assisting the Director and Associate Director with regular tasks such as planning and reconciling the departmental budget, tracking majors, communicating with students and other offices, preparing advertising materials, course scheduling, assisting DA faculty with course needs, and coordinating logistics for searches and campus visitors. |
Essential Job Functions |
Assist in the day-to-day administration of the Data Analytics Program including managing office supplies and forms, and overseeing mail collection and distribution. Greet visitors to the Data Analytics program and act as the first point of contact for students, visitors, campus offices, and community/industrial partners. Manage planning and logistics for visitors, campus interviews, and meetings, including catering, room reservations, and travel arrangements. Assist director and associate director in coordinating internship details. Manage administrative tasks related to faculty and staff searches. Design, arrange, and update displays and advertising for events and curriculum. Proactively work with faculty to maintain fresh and up-to-date website, program materials, and catalog information. Coordinate data collection and periodically generate updated reports on students (e.g., concentration areas, internships, courses, email distribution lists). Maintain and organize electronic files and records (e.g., syllabi, reports, documents) in a shared repository (e.g., Google Drive). Work with Director to develop annual budgets and reconcile monthly expenditures. Assist faculty with clerical work associated with preparing course and program materials. Assist with course scheduling each semester. Supervise student workers as needed and help maintain lab/community space. Engage with AAA community on campus, stay current with new software and policies, and share information with DA faculty. Perform other duties and work on special projects as required. |
Minimum Qualifications |
High school degree or equivalent. A minimum of three years of relevant administrative experience. Excellent communication skills (both written and verbal), strong interpersonal and organizational skills, facility with a personal computer and basic software such as Microsoft Word and Excel, and demonstrable ability to work with a minimum of supervision are essential. The ability and willingness to learn new skills is essential. |
Preferred Qualifications |
Post high-school education. Some experience with web site updates. |
Physical Demands |
Standard office work, assisting with event arrangements as needed. No significant physical exertion, heavy lifting, or travel required. |
