Basic Function |
Provide administrative and organizational support to Director/University Chaplain. Support Director and office in managing the detail of day-to-day activities and operations at The Center for Religious and Spiritual Life (also known as The Open House), which supports Denisonians who make meaning in religious, spiritual, and secular ways. |
Essential Job Functions |
Provide administrative and organizational support to Director of Religious and Spiritual Life/University Chaplain, as well as all activities and programs of Denison Religious and Spiritual Life and The Open House: Center for Religious and Spiritual Life. Supervise a multi-space, multi-use facility, including student staff and a fully functional interfaith kitchen, along with all clerical duties commensurate with the office. Provide clerical and administrative support to the Director. Manage files, calendar, and contacts for the office. Track expenses and budget detail for frequent review by Director. Correspond with students and partners to coordinate individual and group support mechanisms. Assist in scheduling and logistics of meetings and events for the Director and the office and related meetings, programs, or religious observances each week. Oversee scheduling, logistics, and hospitality for affiliated partners and student organizations. Assist in hiring, training, and supervising student staff (15-20 per year). Represent the Center in speaking with prospective families regarding services and programs and respond to general inquiries with referrals to appropriate campus resources. Coordinate logistics for at least two annual campus-wide events, Candlelight Service of Lessons and Carols and Baccalaureate, as well as weddings, funerals, memorials and vigils as needed. Assist in taking notes and composing annual reports for the Center for Religious and Spiritual Life. Coordinate and communicate all program events in university calendars, posters, brochures and other printed materials. Order and organize supplies for offices, kitchen, and student resource library. Monitor program attendance, evaluation, and assessment instruments for related groups and spaces. Provide current documentation and instructional materials for staff and facility, assuring the communication of University standards for safety and compliance. Track and assure building maintenance and cleaning is completed. Monitor facility furnishings and coordinate repairs and purchasing as needed. Schedule use of the University vehicles assigned to Religious and Spiritual Life. Compile “Religious Preference Survey” for incoming students in Banner database and generate reports of results for various adjuncts and offices. Perform other duties as assigned. |
Minimum Qualifications |
High school graduate or equivalent. Requires five years of related experience, preferably in administrative support and program coordination. Outstanding organizational skills, including the ability to handle and balance substantial administrative detail and a wide variety of administrative tasks. Must embrace forward-thinking mission of the office in support of a diverse, religiously and otherwise, student body and campus community. Ability to take initiative, exercise good judgment and work independently. Ability to communicate and deal effectively with a wide variety of constituencies, including students, staff, faculty, and parents. Ability to handle confidential material with utmost discretion. Proficiency with Windows or Mac environment, and Microsoft Office. Must have flexibility to provide a few occasional weekend hours for annual events (June and August orientations; Candlelight Service of Lessons and Carols; and Baccalaureate). |
Preferred Qualifications |
Associate’s or Bachelor’s degree. Comfortable with Google Drive (and it’s related applications: Google documents, sheets, and forms). Experience working in college environment or with young people. Customer service mindset. Experience in creating promotional materials for programs (e.g., making posters or crafting language for promotional material). Web Page maintenance experience. Interest in generating new ideas in a changing field. |
