Position Summary
Dominican University of California is seeking an individual for an Associate Director of Financial Aid position. Reporting to the Executive Director of Financial Aid and Enrollment Management, this individual will be responsible for providing direction and leadership for the day to day operations for the Office of Financial Aid. He or she assists the Executive Director in administration of all federal, state, and college student financial aid programs including compliance and reporting. The Associate Director of Financial Aid will provide leadership in financial aid systems and operations, serve as point person for specific programs, and will be responsible for the supervision, management, and development of staff.
Responsibilities
Financial Aid Administration, Compliance, and Reporting
- Monitor and interpret new and updated regulations.
- Create, update, and maintain policies and procedures.
- Compile, analyze, and report on data to various audiences.
- Assist with all Audits and the Fiscal Operations Report and Application to Participate (FISAP).
- Assist with Parameter Roll Forward (Parm Roll) and annual set-up.
Systems and Operations
- Secondary System Administrator for the Financial Aid Management System, PowerFAIDS.
- Test each PowerFAIDS release, consult with Executive Director as needed for required decisions, and communicate updated/new features to staff as appropriate.
- Assess and support the expansion of PowerFAIDS to increase usage, efficiencies, and enhance communications.
- Create, edit, and run reports in PowerFAIDS for various audiences and for various reasons.
- Secondary Destination Point Administrator for Federal Systems.
- Manage Campus Logic including creation of documentation, import into PowerFAIDS, staff training, annual set-up, and resolution of any errors/issues.
- Maintain the Net Price Calculator.
- Maintain and update as needed a comprehensive financial aid policies and procedures manual that ensures compliance with federal and state regulations and guidelines.
- Generate and submit data to a third party vendor for financial aid leveraging and modeling (currently Ruffalo Noel-Levitz).
Program Management
- Oversee all aspects of one or more federal, state, or institutional programs including, but not limited to serving as the office expert, reconciliation, error resolution, awarding, reporting, etc.
- Serve as department compliance expert, including oversight of Consumer Information.
- Assist with the Satisfactory Academic Progress and Unit Discrepancy processes each semester.
- Provide oversight and support for communications, forms, and documents, as related to systems and operations.
- Coordinate and oversee Loan Default Management including, but not limited to, evaluation of Preliminary Cohort Default Rate, communicating with students, reviewing reports from Federal Loan Servicers, and in-person exit counseling sessions.
- Reconcile Private Loans regularly and maintain working knowledge of trends including number of borrowers, amount borrowed, and average amount borrowed per borrower. Conduct annual review of Preferred Lender List including ensuring compliance with federal and state regulations, and conduct RFI if needed.
Supervision and Leadership
- Represent the Office of Financial Aid on various campus committees.
- Coordinate with other departments across campus for interpretation and implementation of procedures and policies related to financial aid systems, especially compliance.
- Lead and supervise staff.
- Staff training related to updated/new federal, state, and institutional policies and procedures, along with areas of responsibility as needed.
- Serve as primary backup for the Executive Director of Financial Aid and Enrollment Management, in Executive Director’s absence, for items related to Systems and Operations.
- Oversee data accuracy, integrity, quality, and retention; including periodic reviews of system records and funds for accuracy and status checks.
- Primary liaison with Private Loan Lender Representatives and Federal Loan Servicer Representatives for meetings and questions.
- Serve as backup as needed based on staff vacancies for various reasons in the Office of Financial Aid related to Systems and Operations.
- Remain competent and current on systems and financial aid through self-directed professional reading, developing professional contacts with colleagues, and/or attending professional development courses/conferences (as budget allows).
- Perform other duties as assigned.
Required Qualifications:
- Bachelor's degree
- Minimum three years Financial Aid experience
- Proficiency with Microsoft Office Suite
- Experience with database management
- Experience with various Financial Aid systems (CSAC, ELM, COD, FAA Access, NSLDS, SAIG Mailbox, etc.)
- Understanding of Compliance and Consumer Information
- Ability to work independently and as part of a team
- Oral/written communication skills with the ability to articulate complex issues clearly
- Responsibility handling confidential information
- Ability to work independently and manage timelines in a deadline driven environment
Preferred Qualifications
- Experience with PowerFAIDS or other Financial Aid Management System
- Experience with Campus Logic
- Knowledge of PowerCampus or other Student Information Systems
