Title: Degree Auditor

Position Summary:
Dominican University of California is seeking a Degree Auditor to provide reliable and timely information, as well as efficient and user-friendly business processes, in tracking degree progress and advancement to candidacy. This 40-hour per week position scribes all new and revised academic programs (majors, minors, concentrations) in the Ellucian PowerCampus Academic Plan system; tracks, communicates, and certifies degree progress for all enrolled students; provides advisory training on Academic Plan software, and collaborates with the Director of Academic Advising and Achievement and Department Chairpersons, in developing communications and training for students on interpreting and maintaining their own degree audits, and shares in the supervision of work study students.
Responsibilities:
- Scribe and maintain the requirements for each active catalog, including general education, majors, minors, concentrations, electives, and graduate programs. Update curricular changes each semester and test system functionality to ensure the desired result.
- Manage the processing of all substitutions and waivers; customize individual student degree plans on an ongoing basis to reflect changes to degree plans and curriculum.
- Coordinate with the Articulation Officer on the application of transfer credit and placement test scores to the appropriate requirements and electives.
- Develop new business and/or communication processes to enhance campus-wide usage of all features of the Academic Plan in PowerCampus and Self-Service.
- Provide end-user training of, students and advisors regarding use of degree plan software and related documents.
- Work closely with the Dean of General Studies, Registrar, Associate Registrar, Articulation Officer, Curriculum Committee, faculty, and academic departments to resolve questions/issues about academic policies, inconsistencies, articulation agreements, software functionality, and mid-catalog updates of curriculum and/or degree requirements that impact the Academic Plan.
- Serve as a resource for information to faculty and advisors regarding Academic Plan.
- Provide internal training of Registrar staff on Academic Plan software. Share departmental responsibility for performing graduation audits for degree candidates.
- Regularly serve as the primary back-up for in-person customer service and inquiries when either of the staff members responsible for reception are out or busy. Participate in front office rotation as needed during peak periods.
- Share rotating responsibility for convening the weekly staff meeting, answering the Registrar hotline, and hosting the Registrar@dominican e-mailbox.
- Participate in annual workshops, trainings, and/or conferences.
- Perform other duties as assigned.
Required Qualifications
- Bachelor's degree
- 2-3 years of experience in academic advising
- 1-2 years of experience in delivering automated degree audit technology
- Working knowledge of curricular and degree requirement structures
- In depth knowledge of Family Privacy law regarding student records (FERPA)
- Proficient in Microsoft Office Suite, Gmail, Google docs, Internet software, database software, and degree audit software
- Excellent oral and written communication skills; ability to understand, interpret, and convey information about policies, technical details, and procedures clearly and accurately
- Attention to detail; ability to focus on detailed data entry, processing and filing of hard-copy degree-related materials, and delivering quality work within a busy work environment with competing deadlines
Preferred Qualifications:
- Master’s degree
- Catalog scribing experience in an automated degree audit software program
- Proficient in Ellucian PowerCampus student information system
- 3-5 years of work experience in a college or university Advising Center or Registrar’s Office
- Membership in PACRAO, AACRAO, or a state ACRAO organization
- Strong commitment to service, organization, cooperation and teamwork
