SUMMARY OF POSITION:
The Auxiliary Services Coordinator is full-time staff employee under the direct supervision of the Director of Business and Auxiliary Services. The position will develop and implement an accurate and efficient concierge business center-style environment. This will include a chain of custody for all packages delivered to the University. The Coordinator will also be responsible for managing the Copy/Print Center for the growing university and be the first point of contact for issues arising with the copier and printer fleet. The ideal candidate will have some experience in this type of environment and have the ability to manage a small team. The Coordinator will answer questions concerning Mail, Copy/Print Services, convenience copiers, student printing and general University questions, direction, and institutional policies and procedures.
Job Description
RESPONSIBILITIES:
· Functions as a specialist or other operations worker.
· Incumbent will exercise discretion and independent judgment with respect to matters of operating the Mail and Copy center.
· Responsible for effective implementation and management of University policies.
· Handles contact with the customers and management on a daily basis pertaining to business activity.
· Provides training on workflow and operations when necessary.
· Achieves profitability in the area of cost of goods by effectively supervising the use of University materials and supplies.
· Ensures the quality of operations by assisting in the achievement of goals.
· Meets quality and deadline standards by the effective use of scheduling practices.
· Maintains efficient workflow by holding direct reports accountable for quality and efficiency of work.
· Completes site reports and other paperwork as necessary.
· Facilitates resolution of issues concerning pricing, orders-in and invoicing by interacting and communicating with University departments.
· Runs equipment as needed.
· Ensures equipment is functioning properly, checking for quality via daily inspections. Contacts and informs technicians of specific problems.
· Perform basic equipment troubleshooting and escalate calls to technicians
· Performs setup of equipment as prescribed by the departments
· Performs duties of scanning and /or imaging documents
· Maintains records for reports and inventories of supplies needed.
· Distributes supplies and materials mail to University personnel and/or designated drop-off points as required.
· Calculates charges for work performed and maintains logs and may generate reports.
· Responds to and coordinates all service calls required by departments.
· Delivers completed jobs to University locations.
· Maintains daily meter and service logs.
· May travel between buildings and University Campuses.
· Answers customer questions and provides solutions for work requests.
· Perform shipping, receiving and dock work for the University Auxiliary Services Department
· May require periodic overtime on nights and weekends, including off-hour emergency response.
· Uses all types of office and business equipment that may include shrink-wrap machine, paper cutter, hole-driller, bindery equipment, jogger, tape machine, stackers, electric stapler and scales.
· Uses all copier equipment, calculator, fax machine, postage meter and computer as needed.
· Performs other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
- Working knowledge of accounting principles and practices. Must be comfortable working with students.
- Good interpersonal communication, organizational, and planning skills with attention to detail and follow through.
- Must have the ability to communicate effectively with various customers, both internal and external.
- This is a retail site and the ideal applicant will have a background in customer service with an ability to work with customers, as well as their parents.
- Ability to maintain confidentiality
- Ability to establish and maintain good working relationships.
- Must be proficient with Microsoft Word, Outlook and Microsoft Excel, and with standard office software applications.
- Must be comfortable with using multiple software applications.
- Working knowledge of POS and credit card handling.
- Proficiency in assembling and organizing data for use in records and reports.
- Ability to interact effectively with diverse groups of people.
- Ability to provide excellent customer service to both internal and external customers with a positive attitude.
- Ability to multitask in a fast-paced environment.
- Ability to work in an outside environment on occasion.
- Ability to lift 50 pounds on occasion.
- Some outdoor work will be required, and experience operating a golf cart will be beneficial.
MINIMUM QUALIFICATIONS:
· Minimum high school diploma, plus 5 years of mail/copy service experience or equivalent.
· Two or more years work experience in cash handling, banking, and/or higher education.
· Two or more years of experience in customer services, such as retail, hospitality or food service.
PREFERRED QUALIFICATIONS:
· Experience in mail/copy service center management.

- Must possess a valid driver’s license.
- This position requires a criminal background check.
- This position is subject to federal and state privacy regulations.
NORMAL WORK SCHEDULE: This position is full-time, salary exempt. The normal work schedule is Monday – Friday, 8:00 a.m.-5:00 p.m., however, occasional (weekends and evenings) may be required.
TARGET HIRING SALARY: $47,476 annually.
