Description
The Administrative Specialist - Administrative will assist the Department Chair and Business Manager with:
- Planning and preparation of reports, proposals, and special projects.
- Compile, verify and store data used to generate reports for various agencies such as the national accreditation organizations, licensure boards, funding agencies and/or the Board of Regents.
- Coordinate procedures for timely review, completion and distribution.
- Support the Department Chair with departmental and academic processes. Maintain accurate spreadsheets of current and past student data for accreditation and alumni communication purposes.
- Budget, inventory, purchasing, ensuring that all internal controls are followed and implemented.
- Serve as the originator/first line inputter for PantherMart and GSU Foundation for all departmental expenses including travel. Oversees departmental and faculty ordering, maintenance of office supplies and shared equipment. Maintain Department Resource Center, ensure inventory is accurate, and remain available to students for resource check-in/check-out.
The Administrative Specialist - Administrative will play an important role with the admission process within the Department of Nutrition and provide:
- Support and assist department program directors with the admissions process such as receiving applications, sorting, labeling, ranking, creating and maintaining Excel reports.
- Generating and mailing decision letters or any communication with applicants, including verification of requirements. After acceptance, maintain student department files as well as student mailboxes and the active student name/contact list.
- Assist Chair, faculty and staff with the coordination and maintenance of departmental calendar of activities. Schedule, arrange, take and disseminate minutes at departmental meetings and any other events as necessary. Coordinate incoming and outgoing mail, faxes, files and other forms of communications to personnel in the department. Manage departmental telephone and email communication. Monitor and update department webpage and social media. Request campus parking for department guests.
- Act as a receptionist and enthusiastically greet and assist faculty, students, staff and other visitors to the department in person and over the telephone.
- Assist faculty, staff and students with the preparation and administration of academic coursework including textbook adoption, desk copy review process, syllabi collection for each course taught, scantron request, as well as copying, scanning and faxing of instructional material.
- Assist faculty, staff and students with travel arrangements.
- Support the academic programs in the department, particularly those with accreditation, and assist program directors on all matters related to the programs. Currently, 25% of this position is dedicated to the Coordinated Program.
- Support the on-boarding process for new faculty, including ordering keys, phones, computers, supplies, and building access.

Qualifications
Bachelor's degree and two years of related experience; or high school diploma or GED and six years of related experience; or a combination of education and related experience.
