Kenyon College is conducting a search for an Assistant Director of Human Resources. Reporting to the Director of Human Resources, this position performs a wide variety of activities related to general Human Resources functions. This position is responsible for benefits administration, new employee onboarding, FMLA administration and other duties to support the best practices and technologies for related Human Resources duties. This is an exempt, administrative position working full-time.
Duties may include, but are not limited, to the following:
Benefits Administration:
Develop benefit information, statistical and census data, budget projections, etc. for audits, internal and external constituents.
Handle benefit inquiries and complaints to ensure quick and courteous resolution. Maintains contact with employees, insurance companies, physicians, hospitals, etc. to facilitate proper and complete utilization of benefits for employees.
Receive and process requests for Family Medical Leave Act (FMLA).
Complete and track applications for any disability claims through insurance provider.
Coordinate annual open enrollments including the preparation and distribution of communication materials as well as updating the HR website. Send reminders regarding deadlines for benefits submissions along with any required compliance notices for each benefit provider. Update the "Our Employee Community" section of the HR website monthly with wellness tips and employee information.
Conduct meetings with employees prior to retirement presenting information on insurance coverage, College policies and procedures for retirement and related issues. Hosts annual retirement education workshop.
Responsible for benefits and other HR compliance in regard to state and federal mandates. Reviews and analyzes changes to state and federal laws pertaining to benefits, and implements necessary or recommended changes.
Along with the Director, will conduct internal audits of benefits policies and procedures, plan documents, and summary plan descriptions. Updates existing documents or creates new documents to ensure continued compliance.
Through the onboarding process, arranges for enrollment in medical/dental and other fringe benefit plans for new employees. Provides information and education regarding benefits plans and College policies and procedures.
Ensures compliance with retirement plan documents in regard to eligibility, participation, and enrollment in 403(b) and 457 plans. Provides educational resources and opportunities for financial planning with retirement vendors and other resources.
Receives and reviews notices of new hires, re-hires, changes in job status, changes in marital status, resignations, retirements, terminations and other issues affecting benefits and determines the need for action, securing any necessary forms, signatures, or other employee commitment. Completes paperwork or online processing necessary to effect appropriate changes.
Maintains a regular process to reconcile employee payroll deductions with benefit statements from vendors. Ensure proper amounts are charged to budgets and employees for cost-sharing.
Other Duties:
Conduct new employee onboarding to help create system-wide standards for job performance, explains role duties, educates on College policies and departmental procedures, educates and streamlines benefits enrollment as needed, and creates efficiencies in new hire time-to-productivity.
Perform a variety of other general duties including scheduling meetings and events; preparing correspondence; preparing ad-hoc reports and other projects related to supporting the work of the Human Resources department.
Collaborate with campus offices responsible for targeted training including The Office of Civil Rights and Ombuds Office, to implement required and optional trainings in the most efficient, effective manner.
Assist with developing supervisor training for the Employee Performance Program, assist with researching and maintaining a calendar of employee training events/opportunities; assist with implementing other training programs.

Knowledge, Skills, Abilities
Broad understanding of state and federal regulations in regard to benefits and FMLA administration.
General knowledge of accounting methods and techniques applicable to perform reporting on employee benefit activity and reconcile accounts.
Demonstrated effective communication skills to convey information to individuals at all levels of the College community.
Ability to use discretion and diplomacy with respect to confidential and personnel-related issues and sensitive situations.
Ability to work effectively individually and in a team environment. Must be capable of efficient planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
Ability to accurately compile, analyze, and monitor relevant data, preparing routine and non-routine reports.
Highly proficient in computer applications such as Excel, Google Drive, Adobe, Banner (or other employee database program) for the purposes of performing described job duties including data collection, generating reports, website creation, etc.
Demonstrated level of dependability and problem solving skills. Curiosity and ambition to learn new things will be invaluable.
A positive attitude, and excellent interpersonal and collaboration skills are essential!
Working Conditions
Work is generally performed in a standard office setting. Will require the ability to travel to various on-campus offices with regular focus on multiple computer screens and repetitive hand movement and fine coordination for the use of a computer keyboard and mouse. May be required to sit, keyboard, write, listen and speak for extended periods. Work activities may include occasional bending, stooping, kneeling, reaching, lifting, carrying, pushing and/or pulling light to moderate amounts of weight - up to 25 pounds. Annual travel for training will be required.
Qualifications
A Bachelor's degree in Human Resources, Business Administration or related field is preferred. However, an interesting combination of pertinent experience and education will be considered if incumbent is ambitious and motivated to learn. PHR, SPHR and/or CEBS a plus. Experience in a higher education environment preferred.
