Human Resources Coordinator
POSITION DESCRIPTION
Reports to: Associate Director of Human Resources
Location: Brokaw Hall
The Human Resources Coordinator serves a vital role in providing support with the day-to-day operations of the Human Resources Office. The HR Coordinator will provide assistance and ownership in the administrative tasks related to the full life-cycle recruitment process, focusing on enabling the team to effectively meet expectations while ensuring a positive and efficient experience for prospective candidates. This position will provide a high level of customer service to a diverse population of internal and external constituents.
RESPONSIBILITIES AND DUTIES:
Effectively Manage Recruitment Processes
- Support recruitment efforts by posting job openings internally and to external sites, provide guidance in coordinating interview schedules and candidate travel, preparing interview materials, conducting phone screens and serving on interview committees.
- Provide responsive customer service to ATS support queries for both internal and external constituents. Troubleshoot and proactively secure solutions to questions and concerns. Respond to all inquiries from candidates regarding their application and position status.
- Contribute to diversity and inclusion efforts by serving on the PCDA – Recruitment Committee. Identify best practices in proactively searching for the best diverse talent and assessing and improving internal processes. Complete committee work as assigned.
- Manage all pre-employment activities including generating offer letters, reference, background and MVR checks, pre-employment work screenings and other new hire paperwork. Ensure timely completion and follow-up as needed. Provide notification to appropriate HR Representative when unsatisfactory background or MVR results are received for new hires and assess MVR results for students.
- Create employee records in Banner and paper employee files. Provide documents and files to appropriate HR and Payroll colleagues for continued processing.
- Support the closing of job postings through candidate decline communications, running reports and managing candidate status.
New Employee Integration
- Manage and conduct the onboarding processes and orientation program for all staff and faculty positions. Prepare orientation meeting materials.
- Conduct new employee orientation weekly and special orientations as needed.
- Routinely evaluate onboarding process to ensure the best experience is provided. Prepare proposals for process enhancements.
- Manage the timely return of orientation forms and acknowledgements.
Summer & Camp Employment
- Coordinate and assist in the hiring for summer and camp employees, including positing jobs and generating offers. Track all new hire paperwork and follow-up as needed.
- Partner with other campus offices and the CLC to assist in filling summer positions. Track completion of orientation and update online summer and camp employee orientation program as needed.
- Other student employment items as needed.
Vendor Relationships
- Serve as day-to-day contact for background check vendor relationship. Ensure online portal and processes are running as intended. Troubleshoot all questions and concerns from candidates and existing employees as well as students requiring a background and/or MVR check.
- Serve as day-to-day contact for ATS vendor relationship. Respond to user questions and requests and investigate solutions as needed. Manage site information and provide updates to HR team regarding site updates as well as tools and resources.
- Evaluate and recommend enhancements to current usage of these programs.
Other Duties
- Maintain current knowledge of HR laws, practices, procedures, and trends. Make recommendations accordingly, specifically focused on recruitment and onboarding.
- Assist the HR team in ongoing efforts to increase cultural competency and diversity within the campus community.
- Collaborate in the maintenance of employee records in the HRIS. This including, but is not limited to, terminations, employment status changes, employee personal information changes, and contract employee records.
- Complete employment verification requests.
- Manage various communication portals to the HR Office. Assess requests and delegate or complete as needed.
- Lead or serve on project teams when assigned to advance operations of the HR Office.
- Serve on various campus committees. Complete committee work as assigned.
- Other duties as assigned.

- Must have successful completion of criminal record check, driving record check (where applicable) and reference checks.

EDUCATION AND WORK EXPERIENCE:
- Associate’s degree in Human Resources Management or related field and/or equivalent work experience.
- Proficient computer skills including MS Word, Excel, and Power Point.
- Prior experience with an HRIS database and an applicant tracking system is strongly preferred.
- Excellent verbal and written skills. Possess exceptional interpersonal communication skills.
