Job Responsibilities:
The Citadel, The Military College of South Carolina is accepting applications for an Assistant Director of Executive Events in the President’s Office. This position is responsible for coordinating events hosted by the President, the President’s Spouse, the Board of Visitors and other college officials. Will also work with The Citadel Foundation and other campus entities on various other events. Responsible for managing guest lists, data on guests and other sensitive/protected information; as well as maintains databases for invitations and other mailings, logging responses, preparing seating charts, site layouts and event nametags. Assists in managing and inventorying event-specific items at President’s House and within the Office of Executive Events.
As the Assistant Director of Executive Events, this person is expected to use good judgment in making day-to-day decisions and is afforded great independence when completing team tasks; effectively consults with the Director of Executive Events, Executive Assistant to the President and President’s Spouse on major decisions. Employee must exercise basic social graces/etiquette and dress appropriately for events. The Executive Events staff interfaces effectively and professionally with various VIP constituents including the College President and his family, governing Board members, senior staff, alumni, donors, cadets, parents and visitors. The Assistant Director must work with various personalities and campus constituencies in a team environment, and is expected to handle sensitive personal/protected information appropriately.
Manages a 9 bedroom/1 dining room suite used primarily by the college's Governing Board. Must be able to prepare internal billing paperwork or bills for individual outside guests. Manages suite housekeeper duties, prepares memoranda regarding suite occupancy for the housekeeper, campus public safety and the President’s Office when guests occupying suite rooms. May be required to secure outside accommodations if necessary. Works as the primary point of contact and manager of the Cadet Presidential Aides (these Cadet Aides assist at official functions) and assists in preparing routine official/personal correspondence and other protocol tasks for the President’s Spouse.
Minimum Qualifications:
A Bachelor’s degree with two years' related professional event experience (examples include, but not limited to, special event planning, non-profit event planning, corporate event planning, sports event planning, hospitality management or venue management). Must have professional event planning experience and proficiency in Microsoft Office suite (Excel, Word, Outlook and PowerPoint). Excellent organizational and communication skills, and the ability to multitask. Duties often exceed normal hours so must be able to work nights and weekends. Some physical work is required such as pushing, lifting, carrying, climbing and reaching (physical activities associated with event setup/takedown). Employee must be able to lift up to 40 pounds unassisted.
