Description:
Amherst College invites applications for the In-Campus Program Coordinator position. The On-Campus Program Coordinator is a full time, year round position, job group and level AO-4. The Alumni and Parent Program (APP) On-Campus Program Coordinator coordinates pre-event logistics and implementation for a wide variety of programs including Amherst College Reunion, on-campus affinity programs, and Homecoming. They also support staff working with alumni classes and volunteers for class programs and communications, and maintain budget records for on campus programs. Takes appropriate actions to support a diverse workforce and participates in the College’s efforts to create a respectful, inclusive, and welcoming work environment.
Key Responsibilities
Amherst College Reunion
- Coordinate online and paper registration processes including payments and housing assignments for attendees, before the event and onsite, prepare deposits for Advancement Operations
- Maintain all materials including the Reunion Planning Handbook, webpages and schedule, support generation of print and web materials, invitations, coding, data entry, and custom reporting
- Serve as liaison with Operations and Advancement Reporting and Systems to maintain and update web and data functions, troubleshoot applications and reports, evaluate and make process improvements as needed
- Manage student workers who work on housing assignments leading up to and through Reunion
- Coordinate with on campus partners for implementation of program
- Manage the onsite reception center including student workers and staff
- Communicate with alumni regularly about registration and program requests
- Send weekly reports to constituents
- Coordinate supplies, signage, reservations, vendors, billing, and post-event wrap up
Homecoming and On-Campus Affinity Programs
- Includes: Homecoming, usually 1-2 additional affinity programs (i.e. Black Alumni Weekend, Latinx alumni-student events)
- Coordinate update of all materials including webpages, schedule, registration and reporting
- Meet regularly with planning teams, including student leaders, preparing events for affinity programs (including at Homecoming), build relationships with student volunteers and campus partners
- Coordinate with on campus partners for implementation of programs
- Coordinate all supplies, signage, reservations, vendors, billing, and post-event wrap up, including evaluations, etc.
- Support generation of print and web materials, invitations, coding, custom reporting
- Communicate with alumni and students regularly about registration and program requests
Alumni Classes and Volunteers
- Provide support to the Director of Classes and On Campus Programs / 25th Reunion Programs for 15 alumni classes, including email and print mail, webpage maintenance, custom reporting, and maintaining contacts and records
- Communicate with volunteers and respond to volunteer requests
Other Administrative Duties
- Maintain current, accurate and easily retrievable records, timelines, and work instruction for programs
- Maintain budget and spending records for all on campus programs.
- Cover phones as needed for receptionist
Qualifications:
Required
- High school diploma
- 2-4 years experience
- Event management experience
- Excellent written, verbal, and interpersonal communication skills
- Exceptional customer service, organizational, and time management skills
- Ability to take initiative, work independently and collaboratively
- Attention to detail
- Occasional weekend and evening hours required to staff on-campus events
- Proficient in Microsoft Office and comfortable working with data and learning new software
Preferred
- Associates degree
- Experience in higher education, particularly with students or volunteers
- More than 4 years of related experience
