Nature & Purpose of Position |
Performs administrative support duties for the proposed SHSU College of Osteopathic Medicine by coordinating and providing administrative support for all activities and programs in Biomedical Sciences across the continuum. |
Primary Responsibilities |
Performs administrative support duties. Oversees support and logistics for all Biomedical Sciences programs in the proposed SHSU College of Osteopathic Medicine. Coordinates administrative activities and services related to office procedures, special analyses, project summaries and/or compliance functions. Involved in programmatic elements in the office which require development and distribution of materials. Maintains accurate records, schedules, development, and support for the office. Answers phones, maintains calendars, and performs general clerical duties such as photocopying, faxing, mailing, and filing for supervisor and administrative faculty members. Schedules meetings and notifies participants of locations. Serves as a staff support to committees. Compiles materials, prepares/provides agendas, records and distributes minutes for meetings. Provides administrative support for specialized activities, projects and/or grants. Ensures the confidentiality of mail, correspondence and reports. Coordinates and provides logistical support for event set-ups, meetings, or other special functions. Event set-up includes faculty development events at the Conroe campus requiring any needed ordering followed by provision of appropriate paperwork for recordkeeping. Prepares flyers and other communication materials such as correspondence including thank you notes and certificates of attendance. Performs compilation tasks for assessment, evaluation and accreditation. Performs other related duties as assigned. |

Requires detailed knowledge of university infrastructure, policies and procedures. Requires thorough knowledge of office systems. Coordinates with multiple vendors for returns and problem reconciliation. Ability to handle large volumes of data entry with speed and accuracy is critical. Work is of considerable complexity which involves working independently towards general results, devising new work methods, interpreting policy, or meeting new conditions necessitating a high degree of ingenuity, initiative, and judgment. Must be able to work collaboratively with coworkers and provide a high level of customer service at all times. May devote from 25% to 50% of time to routine contacts by telephone with employees of other work units in obtaining or supplying information relating to work. Must have the ability to solve operational problems and make suggestions for process improvement. Attention and care is required in the performance of duties to prevent injury to self or others. Note: This position moves to Conroe upon completion of the medical school facility. |
