About the Position

Reporting to the Director of the Student Health Center and receiving general direction from the SHC Senior Operations Officer, the Health Services Coordinator provides unit/department administrative support and student/program educational support. This includes any needed technical or health information expertise for the SHC to support student education and success. Health information work includes maintaining confidentiality of health records, overseeing any release of records, transcription of records, and coordination patient access, flow, scheduling, and education. The Health Services Coordinator assists the Senior Business Officer in meeting Administration Unit (staff and student) objectives. The incumbent may be asked to support the work of any other SHC Health Education Assistant (and Administrative Support Assistants.) The incumbent works with students and campus colleagues via 1:1 and small group interactions, phoning, emailing, conducting database analysis, tabling, and presentations. Working collaboratively to support student success is the bottom line purpose of this and all SHC positions.
Responsibilities include but are not limited to the following: -Conducts weekly eligibility and enrollment information workshops on reproductive health and family planning options available to SJSU students. -Conducts individual meetings with SJSU students to determine program eligibility and proceeds to enrollment in the program for eligible students. -Initiates outreach and patient education efforts to all new and established patients to the SHC. -Develops promotional pamphlets and reports to support patient education efforts. -Coordinates, communicates and instructs as needed in support of the SHC operational and informational needs. -Coordinates medical records processing, requests, and approved releases. -Initiates problem solving for any patient reception or education issues. -Provides orientation and training on internal processes to administrative support assistants. -Serves as a resource to the SHC and the campus regarding health information confidentiality. -Assists in updating and educating regarding policies and procedures to ensure compliance with legal requirements and accreditation standards. -Interprets policies and procedures in order to demonstrate alternative methods for developing practical, thorough and creative solutions understandable to others. -Reviews processes for continuous improvement. -Assists with and supports the proper handling of cash intake and accounting in support of student services. -Performs administrative support that facilitates patient and staff education. -Represents unit at departmental meetings/committees. -Provides education and training support for department in effective use of EMR and campus student records database. -Supports department efforts in the retrieval and reporting of relevant data such as clinic utilization and provider visits. -Educates students regarding their privacy rights. -Assists in setting up providers' schedules to facilitate patient utilization of services. -Schedules appointments and collects and posts payments made to patient accounts. -Conducts data collection and analysis (point of service surveys and other forms of patient feedback). -Committee work or special projects as needed. -Recommends and initiates improvements for SHC accounting/technical/patient education functions. -Develops/creates SHC announcements to inform and educate patients and campus community. -Other projects and administrative support as required in support of SHC Health Education needs. -Provides collegial and consultative support to other SHC staff. |

Education and Experience

High school diploma or equivalent or combination of education or experience which provides the required knowledge and abilities.

Preferred Qualifications

-Experience in workshop material development and presentation.
-Administrative experience in a medical setting (scheduling, registration, enrollment, eligibility) -Experience with cash handling. -Experienced with computer software (MS Word, Excel, Power Point) and hardware (scanners, projectors, etc.) -Experience with electronic health record systems. |

-This position requires the ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment.
-Knowledge of the techniques for collecting and compiling data and the means of disseminating educational information to the campus community through various mass and audio or visual media. -Ability to compose and appropriately format correspondence; draft simple staff reports and articles for publication in newsletters and bulletins. -Working knowledge of software applications such as word processing, power point, excel, publisher, database management, and electronic record keeping. -Ability to prepare and deliver informational talks and lead group discussions with or without audio visual aids. -Ability to conduct interviews or focus groups to obtain data on campus community health habits and/or needs. -Ability to conduct research using a variety of sources to develop and prepare educational and assessment materials. -Ability to learn and use PeopleSoft. -Ability to understand problems from a broader perspective, anticipate impact, and adjust accordingly. -Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. -Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist. -Ability to perform accurately in a detailed-oriented environment. Ability to Proof accuracy of entered/recorded information and numbers (amounts, time, codes). -Ability to handle multiple work priorities, organize and plan work and projects. -Ability to organize, coordinate, and guide the work of others. -Ability to effectively handle interpersonal interactions at all levels and highly sensitive interpersonal situations. -Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies. -Ability to quickly learn and apply a variety of state, federal, California State University (CSU), and San Jose State University (SJSU) policies and procedures. -Strong oral and written communication skills. Must possess excellent customer service and public relations skills. -Ability to provide collegial and consultative support to other SHC staff. |
