General Summary:
The Senior Associate Director of Athletics/SWA Internal Operations is responsible to the Vice Chancellor of Athletics, Recreation, Special Programs and Projects for oversight and management of the day-to-day operations of the Intercollegiate Athletics Program. The incumbent oversees the operation of eighteen (18) sports programs, including facilities, budget, travel, scheduling, recruiting, equipment, planning, staffing, bidding and the coordination of championships and other related areas; and directs the Divisions two major fundraising events. The Senior Associate Director of Athletics/SWA Internal Operations will serve as the Athletic Director in their absence; will oversee the development and completion of the strategic plan; and will represent the athletic department as the Senior Women’s Administrator in National Collegiate Athletic Association (NCAA), Little East Conference (LEC) and Eastern College Athletic Conference (ECAC) conference and related meetings.
Examples of Duties:
- Provide leadership, management, planning and administration over the day-to-day operations of the Intercollegiate Athletics Program, including hiring and supervising of staff, and program expenses; manage, oversee and monitor the budget for the Intercollegiate Athletic Program and work directly with the Director of Finance in implementing the budget for the program; propose yearly budget to the Vice-Chancellor;
- Provide leadership and oversight of all head and assistant coaches;
- Provide leadership, supervision, and evaluation of staff responsible for marketing and promotion of athletic events and marketing materials; approve all marketing and promotional materials and allocate budget for each area; assist in the development of marketing and promotional planning, in conjunction with University Advancement and Communications; in collaboration with the Sports Information Director and Marketing and Promotions Coordinator, oversee the preparation of press releases and the arrangement of media coverage for athletic events and ensure that the appropriate media is informed of the results of all athletic events;
- Directly supervise, manage, and evaluate the daily operations and staff of the facilities component of the Division; oversee all aspects of the Clark Athletic Center along with coordination of other off-campus facility sites, including budget management, and capital project supervision; provide leadership and supervision of staff responsible for the operation of the concession stand that is open for all home events; oversee budget allocation, monitor student-athlete workers and provide oversight of inventory and supplies;
- Implement and oversee contracts specific to the Intercollegiate Athletics Program; negotiate terms with prospective vendors; prepare bid documents, in conjunction with Business Manager; monitor and coordinate product ordering; deliver and handle all reconciliations, and serve as liaison and point person for UMB athletics with the vendor;
- Assist the Vice Chancellor in the development of the strategic plan for the Intercollegiate Athletic Program, as well as providing on-going vision and strategies to ensure its success; monitor, implement and evaluate programmatic and operational effectiveness of the Program and make regular and daily operational and managerial adjustments/changes when necessary; work directly with senior leadership and the Vice-Chancellor on major operational and managerial adjustments/changes that have great impact division-wide;
- Establish collaborative inter-departmental relationships in order to recruit and retain students, develop alumni and foster student engagement and success and to support and encourage communication between departments; meet on a regular basis with various university departments to ensure that student-athletes receive needed intervention, assistance and advising in a timely manner and in accordance and compliance with all University, National Collegiate Athletic Association (NCAA) and Conference rules and regulations; work with and serve as the point person for Student Affairs regarding student-athlete disciplinary problems and judicial matters;
- Assist the Vice Chancellor of Athletics with NCAA, Little East Athletic Conference (LEC) and Eastern College Athletic Conference (ECAC) conference business by attending meetings, discussing and reviewing legislation, new policies and procedures; conducting research and gathering necessary information to ensure compliance to all NCAA, federal and conference policies and procedures; effectively communicate conference legislation, policies, and procedures to all direct reports and oversee implementation of such policies and procedures within the Intercollegiate Athletics Program; ensures that the Intercollegiate Athletics Program remains in full compliance with NCAA, the University, LEC and ECAC rules;
- Develop policies and procedures relative to student-athletes access, health, and welfare, in accordance with NCAA rules and regulations to ensure that recruitment of academically qualified students and the development of comprehensive services to support the academic progress of athletes, with an emphasis on student success;
- Prioritize facility improvements to ensure the safety of student-athletes; in collaboration with athletic facilities staff, contributes long-range to facility improvement plans and design;
- Coordinate the scheduling of intramural programming and facilities scheduling within the Intercollegiate Athletic Program and across the University;
- Oversee and secures contracts with external organizations for the use of off-campus facilities for team practices and games; schedules transportation to and from campus each day;
- Perform other duties as assigned.
Qualifications:
Bachelor’s Degree in Business, Sports Administration and/or Management or a closely related field and a minimum of ten (10) years of experience at the NCAA Division III level and a demonstrated commitment to the philosophy and mission of Division III institutions is required. Experience in hiring, supervising and managing staff is required.
Preferred Qualifications:
- Master’s Degree preferred.
- Collegiate administrative or coaching experience preferred.
Knowledge, Skills, and Abilities:
- Knowledge of NCAA and affiliated conference regulations;
- Knowledge of recruitment and admissions process;
- Knowledge and/or experience with budget management;
- Understanding of the dynamics and trends in intercollegiate athletics in general and NCAA Division III in particular;
- Ability to work effectively with a wide range of constituencies in diverse communities;
