The Office of Research Administration has an immediate opening for a temporary Grant Assistant at the Coral Gables Campus.
This position aids in the monitoring of sponsored research accounts from award set up through closeout while adhering to University, State and Federal policies. This position plays an important role in post-award compliance in providing support to ensure thorough review and process of expenses, budgets are not overspent, grant periods are adhered to, costs are allowable under the grant and accounting records are maintained in good order and for the proper time.
Responsible for expense monitoring, system(s) functionality, and communications. Aids in grant-related post-award functions, including budget distributions, expense monitoring, periodic invoicing, financial reporting, review labor distribution transfers and associated communications with customers, reconciliations, and re-budgeting; grant closeout functions including reconciliations, financial status reports, final invoices, and final reporting; aids in reviewing expense transactions to ensure accuracy and complete journal entries.
Assists with time and effort reporting system, ensuring it is complete and in compliance with applicable regulations; maintains regular communications with department; communicates with fiscal contacts at funding source for problem resolution and information gathering.
Supports the sponsored programs department in education and training of principal investigators and administrators; assesses needs and resolves issues of the principal investigator related to grants accounting; performs analysis and support for projects.
Ensures high quality, efficient service to the research community, and provides assistance to Manager in the planning and implementation of innovative customer service initiatives.
Maintains knowledge of current federal regulations related to grants and single audits of state, local government and non-profit organizations.
Performs other job related duties as required.
Demonstrated knowledge of Federal regulations related to Research Administration, including the Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines.
Excellent computer skills and facility with using MS Excel (sorting, pivot tables, filtering, basic formulas)
Excellent mathematical and analytical skills
Excellent communication skills, ability to translate and summarize numbers into an understandable narrative to others; ability to communicate effectively with a diverse group of individuals
Demonstrated experience using institutional systems
High School/GED
Bachelors Degree Preferred
1 year Experience in Sponsored Programs Administration or Related Field preferred.
