Work Schedule |
Monday through Friday, 8:30 to 4:30 pm, 7 hours per day, 35 hours per week. Additional hours required to meet benefit and payroll processing deadlines. |
Basic Function |
Assist in coordinating various employee benefit programs. Perform a variety of administrative and clerical duties to support the processing of multiple payrolls, maintaining HR/benefit data, and performing account reconciliations. |
Essential Job Functions |
Assist in orienting new faculty/staff to benefits and human resource programs and policies; assist employees in the completion of new hire and benefit forms; counsel employees regarding benefit programs. Answer faculty and staff questions on benefits and resolve issues with vendors as needed. Update human resource and benefit records in information systems; monitor benefit and human resource records to maintain accuracy and resolve data errors. Coordinate eligibility, contribution, and other data with benefit program vendors for the Emeriti program, retirement programs, and medical programs. Run reports to generate employee eligibility and terminations for the Emeriti program and transmit data files to vendor via secure web site; run reports to create contribution data files to transmit to TIAA-CREF for both Emeriti program and retirement programs for posting to employee accounts; initiate funding of contributions, process journal vouchers, and reconcile benefit liability accounts monthly. Update eligibility and enrollment information for all medical programs via secure web sites; reconcile eligibility reports from vendor to HR reports. Confer with Director or Associate Director regarding problems and issues regarding data/information with vendors, elevating significant issues in a timely manner. May assist Director and Associate Director on special projects requiring use of Excel to track, monitor, and analyze benefits, costs, transactions, and similar information. Process multiple payrolls; perform data maintenance, payroll preparation, data input and verification; process all payroll procedures to initiate and complete payrolls; and prepare request for payments. Assist payroll administrator with setting up students to be paid via web time entry approval; set up approvers in Banner for web time sheet approval; run job to set up student jobs and deductions in Banner; and check records for completeness and accuracy. Assist with payment of taxes to state and local tax jurisdictions and reconciling of tax accounts. Assist in reconciling benefit, liability, and payroll accounts and processing W2 forms. Act as backup to payroll administrator in his/her absence. Perform various tasks in support of the external audits for the Emeriti, Core Retirement, and Tax-deferred retirement programs; research and provide verification of sample information; summarize benefit/payroll information; and provide adhoc reports to substantiate plan operations. Work closely with auditor, Director, and Associate Director regarding audit issues/tasks. Assist in publicizing benefit programs; prepare and edit correspondence and forms regarding benefits and HR programs; contribute to HR&DU monthly newsletter; assist in maintaining intranet with benefit and HR information. Perform other duties as assigned. |
Minimum Qualifications |
An associates degree in business, accounting or related field or equivalent required. A minimum of four years of relevant office/administrative work experience, preferably in payroll, benefits, and/or human resources. Must have good analytical skills to assess and resolve problems. Must be detail oriented and able to successfully accomplish a heavy work load in a multi-tasking environment under frequent deadlines. Must have excellent customer service skills – be able to provide helpful and courteous service to the community. Must have excellent computer skills including Word and Excel – must be able to work with multiple file formats and be able to convert files for multiple purposes. Must have good basic math skills. Must be able to handle confidential information discreetly. |
Preferred Qualifications |
Experience in basic accounting tasks. Experience in database programs and systems. Knowledge /experience with benefits and payroll. |
Physical Demands |
This is largely a sedentary role which requires the ability to sit for prolonged periods. |
