Basic Function |
Procure materials, supplies, equipment, and services that will meet the needs of University administrative and academic departments and comply with regulatory guidelines, accepted purchasing principles, and University policies. Liaise with University departments and outside organizations; monitor customer satisfaction and solve problems; use electronic systems to conduct business transactions and compile vendor information; review, evaluate, and manage assigned contracts. |
Essential Job Functions |
Manage university contracts as prepared by the Director. Analyze, source and procure needed business supplies working with campus consituents. Prepare budgets and financial statements including annual reports for Business Affairs. Map processes and conduct assessments of procurement functions including metrics and offerings; recommend any changes. Manage University’s purchasing card program. Implement the supplier enablement, qualifying, and management process. Execute travel and hotel contracts. Resolve procurement and supplier issues related to invoice, payment, account or credit issues. Complete change orders, and other Purchase Order adjustment entries. Coordinate all tasks related to the University’s acquisition, tracking and disposal of fixed assets including sales of surplus equipment items which is recorded and reported to the Controller on an annual basis. Conduct surveys to receive input on various services, products and initiatives, to improve service and quality. Participate in professional development goals to achieve short and long range plans and objectives, as may be necessary to maintain knowledge and skills needed for job. Manage the development and implementation of special projects, and other work-related duties and responsibilities as assigned. |
Minimum Qualifications |
An associate’s degree in procurement, supply chain management, or related area. Three years of related work experience. Knowledge of purchasing, inventory management/fixed asset tracking, risk management, contracting/negotiating, and accounting processes, practices, and procedures. Skill in basic mathematical functions, accounting principles and financial problem solving techniques. Ability to use accounting/inventory applications, including spreadsheets, databases and other related computer software and hardware. An understanding of funding models. Ability to comprehend technical literature and processes. Ability to juggle several projects and deadlines using a project management approach (e.g., set and meet deadlines and handle multiple projects concurrently). Flexible work style: able to work independently, on a team, or lead a team. Able to complete work assignments in an environment of constantly changing priorities and frequent interruptions. Ability to analyze information, problems, situations, and procedures and be resourceful to find appropriate solutions to problems and have the initiative to present alternatives and implement solutions to problems if encountered. Good interpersonal skills and ability to communicate effectively with a diverse and high-level group of individuals in a diplomatic and professional manner. |
Preferred Qualifications |
Bachelor’s degree. Preferably in a related area. Competence and experience using financial systems software (Banner a plus). Courses or certification in Procurement through the Institute of Supply Management. |
