Description
The Office of the Ombudsperson is a safe place where members of the Georgia State University community can go for impartial, confidential assistance in resolving conflicts, disputes, or complaints on an informal basis. The University Office of the Ombudsperson adheres to the International Ombudsman Association (IOA) Standards of Practice and Code of Ethics. These standards were developed in accordance with commonly understood principles within the ombuds profession: confidentiality, neutrality, independence, and informality.
The Office of the Ombudsperson is seeking to hire an Administrative Coordinator. The scope of responsibility will include the following duties but is not limited to the following,
Writing & Scheduling

Assists supervisors in creation of annual reports

Drafts reports and correspondence; processes various forms

Schedules/coordinates meetings or room reservations

Attends meetings and takes meeting notes/minutes

Maintains the Office calendar
Outreach & Marketing

Serves as liaison between the Office and the University community

Assists with the design, development, and dissemination of Office material
-
Assists with outreach & awareness campaigns (e.g. represents the Office at informational sessions and/or at outreach events)

Maintains Office web presence (e.g. website, social media)
Office Management & Budget-Related

Performs administrative duties, such as making travel arrangements, ordering supplies, maintaining service contracts, and other general office duties including filing and sorting, database maintenance, etc.

Monitors and facilitates compliance with University policies and procedures

Inventories supplies and equipment
-
Schedules the maintenance/repair of office equipment

Coordinates some or all of office's property control processes (e.g.surplus)

Assists with video conferencing and/or training needs
-
Assists with budget activities, invoicing, reporting, etc.

Monitors expenditures, processes vouchers for reimbursement, reconciles Peard logs

Assists in departmental budget development, monitoring, and updating; monitors expenditures, coordinates the payment of invoices

Coordinates P-Card purchases & payment of invoices
Perform other professional duties assigned or requested
Qualifications
Bachelor's degree and one year of administrative experience; or high school diploma or GED and five years of administrative experience; or a combination of education and related experience.
