The Registrar plays a critical role in the collaboration among academic, student affairs, and administrative units in advancing the academic enterprise and supporting the progression and success of students. The Registrar reports to the Associate Provost for Academic Affairs and is responsible for all aspects of student registration processing of student grades and grade changes; production of academic transcripts; participating in the enforcement of the university’s degree requirements and academic policies; management of student records; enrollment and degree verifications; transfer credential awards; and degree audits and graduation clearance.
Duties and Responsibilities
Leadership
- Provide leadership and supervision to the Office of the Registrar and its staff
- Plan, administer, and oversee the departmental annual operating budgets and annual reports, ensuring efficient and authorized use of financial resources
- Performs other duties as requested in support of the University’s mission
- Serve as a member of relevant University committees as needed
Administration and Operations
- Oversee all aspects of the university student information system relevant to the mission of the office
- Oversee maintenance and enhancement of the university’s automated degree audit system to facilitate degree clearance in accordance with academic policies
- Coordinate grade submission and change of grade processes
- Manage articulation and evaluation of transfer course credit, including the implementation of a state-wide transfer articulation program and transfer credential analysis.
- Serve as university data steward for student academic records, ensuring accuracy , integrity, and approving data access
- Assume the leadership role in development of policy and planning relative to academic records creation, retention, management, and reporting.
- Maintain and ensure accuracy of the course inventory, transfer articulations, and program requirements
- Responsible for certifying student academic records, enrollment verification, and degree eligibility, and issue diplomas and official academic transcripts
- Assist in the registration of incoming freshmen students
Policy and Compliance
- Ensure precise enrollment reporting through the National Student Clearinghouse (NSC) and the National Student Loan Data System (NSLDS)
- Ensure compliance with all required federal, state, accreditation, and university policies related to the responsibilities of the office
- Coordinate process automation in conjunction with Information Technology
Skills and Abilities
- Management experience in an administrative office responsible for the student record needs of a growing university
- Proven leadership skills, ability, and commitment to process review and improvement
- Demonstrated skill to prioritize and multi-task to meet university/departmental goals and deadlines
- Excellent interpersonal, communication, organizational, collaborative, and motivational skills
- Knowledge of FERPA and the ability to interpret and apply other federal, state, and institutional regulations and rules
Requirements:
Minimum of Master’s Degree Required. Minimum 5 years of increasingly responsible administrative and supervisory experience in a Registrar's Office; working knowledge of an integrated student information system; leadership roles responsible for the administration of student academic records, the policy and processes associated with those records, and the delivery of services to students, faculty, and staff in association with those records.
